Are we allowed to collect licence photos online at all?
Yes — checking the licence is a legitimate interest or contractual necessity for car-sharing. What matters is the how: encrypted transfer, storage in Germany, access only for the board and deletion after the check or on leaving. That is exactly what Questee provides — far cleaner than photos in messengers or inboxes. The legal framing for your articles stays a club matter, as usual.
Does Questee also collect fees via SEPA?
No — Questee captures the SEPA mandate details in a structured, validated way; collection continues through your club bank or club software. That is deliberate: direct debit belongs in the treasurer's hands. You save the retyping, not the control.
Does Questee verify the licence is genuine?
No, and we do not claim to: the visual check is your club's job — many initiatives inspect the original in person at key or card handover anyway. The form ensures the photos are complete, legible and securely filed before that appointment happens.
Where is our members' data stored?
Exclusively on servers in Germany, transferred encrypted and stored tenant-isolated — no US cloud. We provide the Art. 28 GDPR processing agreement, which makes the data-protection item at your next AGM quick to answer. Departed members are deleted with one click.
Is the free plan enough for our club?
Very likely yes: 3 forms and 100 responses per month easily cover the membership application, a damage report and a member survey — few initiatives admit more than 100 members a month. On the free plan the form carries subtle Questee branding; if that does not bother you, you never pay.
What about members without a smartphone?
The form runs in any browser — on a laptop or the library PC too. And for the few who refuse digital entirely, the paper form remains as an exception: a board member then enters the data via the form link themselves. Everything still ends up in one place.
Why not just a PDF form on the website?
The PDF has to be printed, comes back photographed or half-filled, and cannot handle licence photo uploads at all. An online form validates required fields and the IBAN instantly, accepts photos and delivers structured data instead of attachments. The difference is many volunteer hours a year.
