Questions from volunteer coordination

May we even ask about background-check status?
The status, yes — i.e. whether an enhanced background check exists or still needs to be applied for. The certificate itself should only be inspected, not stored permanently; that is the standard youth-work recommendation. The form captures the status; inspection remains an in-person step.
Is volunteer data stored GDPR-compliantly?
Yes — hosting exclusively in Germany, encrypted transfer, tenant-isolated database and an Art. 28 GDPR DPA. You can delete entries at any time, for instance when someone withdraws their interest. That covers your duties as data controller without legal headaches.
Why not just keep using email and phone?
Because information goes systematically missing: nobody asks about skills and availability on the phone, and emails to info@ are read by whoever happens to check. The form asks everyone the same questions — and everything lands in one place instead of five inboxes.
Does a form not put people off?
A short, friendly form actually signals professionalism: it shows your club takes commitment seriously and is organised. Length matters — five to eight questions are enough for first contact. Details follow in the personal conversation afterwards.
Can one form cover several volunteering areas?
