Sound familiar from your setting?

Clipboard notes, gaps in the record

Every practitioner records settling-in differently: on the weekly plan, on a sticky note, or not at all. When the development review comes up, the continuous record is missing — and nobody remembers when the first separation happened.

Parents ask at the door every day

"How was it today? Did she cry?" — understandable questions, but they come exactly when twelve children are being collected at once. The doorway handover does not do the settling-in justice.

Knowledge is lost when staff change

If the key worker is off sick, the cover stands there without the history: which phase, which particularities, what was agreed with the parents? The note about it is — somewhere.

How it works with Questee

  1. 1

Set up the settling-in form once

Define the fields that fit your concept: date, settling-in phase, separation length, behaviour at goodbye, mood during the day, next step. No IT knowledge needed — the AI builds the form in 30 seconds, you just adjust.

  2. 2

Practitioner fills it in briefly each day

One question per screen, on the group tablet or work phone, done in two minutes — during nap time instead of after hours. Every entry lands automatically structured and in order in one place.

  3. 3

Share the record instead of doorway chats

You have the complete settling-in record per child at hand — for parent meetings, the team, the cover staff. Parents get the day's short update without anyone having to lecture at the door.

Built for sensitive children's data

Hosted in Germany

Children's data deserves special protection — it stays on German servers, with an Art. 28 GDPR DPA.

No app to install

Runs in the browser on any tablet or phone — no per-staff licence, no update hassle.

Save and resume

Start an entry, a child cries, continue later — nothing is lost.

Conditional logic

Separation questions only appear from the separation phase — the form adapts to the settling-in stage.

Password protection

The documentation form is accessible to the team only — not to anyone with the link.

E-mail notification

Management sees new entries instantly — without checking the system.

Fits a nursery budget

Questions from everyday nursery life

Are we even allowed to record settling-in data digitally?
Yes — what matters is not paper versus digital, but where and how the data is stored. Children's data is specially protected under GDPR: Questee hosts exclusively in Germany, encrypts transfers and provides the Art. 28 GDPR data processing agreement your provider needs for its privacy documentation. Coordinate the rollout with your provider and, if applicable, their data protection officer.
Why not just the WhatsApp group with parents?
WhatsApp is a privacy nightmare for children's data: data runs through US servers, every parent's phone number becomes visible to the others, and supervisory authorities explicitly advise settings against it. With Questee you share settling-in updates in a controlled way — without private numbers or photos ending up in an unmoderated group.
We are already eyeing an expensive nursery app — why Questee?
Nursery apps with a settling-in module often cost several euros per child per month and lock you in with annual contracts — easily four figures a year for a 60-child setting. Questee costs €12 a month for the whole setting, cancellable monthly, and parents install nothing. If you just want to document settling-in, you do not need an all-in-one platform.
Does this fit the Berlin model — or only your own template?
You define the fields entirely yourself. Berlin model with foundation phase, first separation, stabilisation and final phase, Munich model or your own concept — the form reflects whatever your pedagogical concept specifies. Set the phases up as a choice field; everything else follows your practice.
Do parents need to install an app or create an account?
No. If you want to share updates, parents simply receive a link and open it in the browser, on any phone. No app store, no forgotten passwords, no barrier for families who use little technology.
Many of our families speak little German — does it work multilingually?
Yes, every form is available in German and English — the AI handles the translation, you just review it. Especially for international families that is a real difference from German-only paperwork.
What happens to the data when the child leaves the nursery?
You can export a child's entries (e.g. for the handover file) and then delete them — GDPR-compliant and traceable. There is no hidden data lock-in: the data belongs to your setting, not the platform.
