Questions about parent events

Why not just a poll in the WhatsApp group?
Aside from privacy — WhatsApp stores data on US servers and exposes everyone's number to everyone, which is why supervisory authorities advise settings against it — a chat poll cannot coordinate bring-alongs or collect headcounts. With 40 families, replies drown in the message stream. A form collects everything in a structured way, and nobody has to join a group.
Can we prevent everyone from bringing cake?
Yes — set up bring-alongs as choice categories (cake, savoury, fruit, drinks) instead of free text. Parents see the categories and spread out automatically. You can see live which category is still empty and point to it in the reminder e-mail: "We still need drinks!"
Is this not too technical for our parents?
No — the opposite is the point: parents open a link and tap through a few questions, one per screen. No app, no account, no password. That is easier than the noticeboard, which requires a pen and the right moment in the hallway. And for the traditionalists: you can still pin up the QR code.
What happens to the families' sign-up data?
It sits GDPR-compliant on servers in Germany, transferred encrypted, with an Art. 28 GDPR DPA for your provider. After the event you can simply delete the sign-ups — for data about families and children the rule is: keep only as long as needed. No data travels into US clouds or advertising profiles.
Does this also work for summer fêtes, lantern festivals and craft afternoons?
Yes — the pattern is always the same: sign-up, headcount, optionally bring-alongs or helper shifts. Copy your parent-café form and adjust title and fields. The summer fête might add a helper question ("set-up or tear-down?"), the craft afternoon a material-donation choice.
