Questions from gym owners

Is the digital application already the contract?
No — and we say so deliberately: Questee captures the application data in a structured way. How the contract is formed (signature at the desk, confirmation email, your existing process) remains your decision and your terms. The win comes before that: complete, legible data without retyping, before anyone signs.
May I even ask health questions digitally?
Yes, with care: health data is a special category under Art. 9 GDPR and requires explicit consent. In practice: explain in the form what the answers are used for (a safe training plan), keep questions voluntary where possible and obtain consent via checkbox. Questee stores answers encrypted in Germany — safer than any clipboard lying open at the desk.
Does this replace gym software like Magicline?
No — management software handles check-in, billing and class schedules, but costs many times more and needs onboarding time. Questee solves the application step specifically: capture data digitally instead of retyping paper. Many gyms use both — you transfer captured data into your records via export. There is no direct gym-software integration, but webhooks for your own connections.
How secure are SEPA and health data?
Transfer encrypted via HTTPS, storage tenant-isolated on servers in Germany, no US cloud transfer. We supply the Art. 28 GDPR processing agreement for your privacy policy. Rejected or completed applications are deleted right in the dashboard — data minimisation included.
What about members who prefer paper?
There will be some — and that is fine. What works: a QR code at the desk plus a tablet for anyone who wants to fill it in right at the gym. Whoever insists on paper gets it; your team then enters the data via the form link themselves. Everything still ends up digital in one place instead of two systems.
Can the fee be calculated right in the form?
Yes — with the calculation feature: base plan plus selected add-ons (sauna, drinks flat, classes) produces the monthly fee live. That creates transparency before signing and spares your team mental arithmetic at the desk. Discount logic (annual prepayment, student price) is handled via conditional logic.
Why not a fillable PDF on the website?
Fillable PDFs fail on phones, validate no IBAN, cannot do conditional plan logic and come back as attachments someone retypes. The online form validates input instantly, adapts to the chosen plan and delivers structured data to your dashboard. The paper-to-data step disappears entirely.
