For energy consultants

Collect subsidy application documents completely — without email ping-pong

Your client gets one link: work through the checklist, enter data, upload documents. You get everything for the application preparation structured in one place — instead of scattered across twelve mail threads over weeks.

Create document form

~2 Std of chasing time saved per subsidy project when documents arrive in a structured way

The document hunt before every application

Documents trickle in over weeks

Heating invoice today, land register extract next week, the installer's quote "is coming". Every document its own mail thread, every reminder a phone call. Preparing the application takes longer than the actual expert work.

Incomplete sets block the application

Subsidy applications need complete documentation — one missing proof and the project stalls. You often spot the gap only while compiling, and the hunt starts over while your client waits for the funding commitment.

Attachments scattered across the inbox

"IMG_4711.jpg", "Scan_final_2.pdf", a WhatsApp photo of the rating plate — all in different channels and formats. Before the application you spend half an hour sorting attachments instead of doing expert work.

Structured groundwork instead of email chaos

  1. 1

Set up the document checklist as a form

You build one form per measure type: building data, ownership, existing heating, planned measure — plus upload fields for every required document (quotes, invoices, proofs). The AI drafts the skeleton in 30 seconds.

  2. 2

Clients work through the list at their own pace

One question per screen, every upload field with a help text ("The contractor's quote must itemise the eligible costs"). Draft saving included — anyone who needs to obtain the land register extract first simply continues later.

  3. 3

You prepare the application with a full set

All details and documents are with you, structured and complete — you see at a glance what is there. The application itself (with the funding bank) proceeds as usual via you or the client — but now without gaps and without a third chasing round.

Tools for application preparation

File upload per document

Dedicated upload fields for quote, invoice, proof — every document arrives assigned, not as an attachment pile.

Save & resume

Clients can pause and resume via the same link — vital when documents must be obtained first.

Conditional logic

Heating swap, insulation or windows? Each measure shows only its own document list.

Required fields & validation

Submission only works once everything is there — completeness is built in, not checked afterwards.

Your branding (Pro)

Your consultancy's logo and colours — clients complete your form, not an anonymous tool.

Questions from energy-consulting practice

Does the form submit the application to the funding bank?
No — and that matters: the application itself is submitted as before by you as the consultancy or by the client via the funding institutions' official portals. The form is the groundwork: it collects details and documents completely so the application can be prepared without chasing loops.
Which documents should I request?
That depends on the programme and measure — typically: building and ownership details, the contractor's quote with eligible costs, data on the existing heating, consumption records and further proofs case by case. You simply map your proven checklist into a form — professional authority over the list stays with you.
What if funding conditions change?
You adjust your form in minutes — add a field, update a help text, done. That is exactly why an editable form beats rigid PDF checklists: at the next guideline change you update one place instead of a hundred sent-out PDFs.
Are uploaded documents stored securely?
Yes — uploads are transferred encrypted, stored on servers in Germany, scanned for malware and kept tenant-isolated. We provide the Art. 28 GDPR DPA. Land register extracts and ownership proofs do not belong in US cloud inboxes — here they stay in Germany.
Why not just a PDF checklist by email?
The PDF checklist tells clients what is missing — but collects nothing. Documents still come back scattered as email attachments, often incomplete. The form combines checklist and collection: every document has its upload field, required fields enforce completeness, and you receive an ordered set instead of an attachment pile.
Does the form advise my clients on funding?
No — funding advice is and remains your professional service. The form captures and collects; which programmes fit, how measures combine and what is eligible is clarified in your consultation. Help texts in the form should explain where to find documents — not make funding claims.
Can I build a separate form per funding programme?
Yes — forms are unlimited on Pro. Many consultancies create one form per measure type (heating swap, building envelope, systems) and duplicate existing ones as templates. Alternatively, conditional logic in a single form controls which document section the client sees.
