For independent & church-run daycare centres

Daycare registration digital — with all allocation criteria on first contact

Parents register their child online — sibling status, employment, residence and care hours included. Your waiting list fills in a structured way instead of a paper pile next to the Excel file.

Daily life in daycare management

The Excel only one person understands

The waiting list lives in a spreadsheet with colour codes and abbreviations only the director can decode. If she is out, allocation stalls — and nobody knows whether the list is current.

Chasing allocation criteria by phone

Sibling at the centre? Both parents employed? Residence in the catchment area? What state law and provider rules require for allocation is rarely complete on the paper sheet — so the office calls after the fact.

"Where is my child on the list?"

Parents call weekly asking about their list position. Every enquiry means: open Excel, search, phrase carefully — time missing from the group.

How Questee fixes this

  1. 1

    Registration form with your criteria

Adapt the "daycare registration" template: care hours, start date, sibling status, employment, residence — exactly the criteria your state law and provider require for allocation. Link on the daycare website or as a QR code on the notice board.

  2. 2

    Parents register completely

Required fields ensure no registration arrives without allocation criteria. Conditional logic asks only what is relevant — e.g. the sibling group question appears only when a sibling is indicated. Parents fill in evenings on their phones, no office appointment needed.

  3. 3

Waiting list as a sortable overview

All registrations sit structured in the dashboard — filterable by start date, care hours or criteria, exportable as CSV for the provider and youth welfare office. Any colleague can see the status, not just the director.

What daycare directors actually need

Required fields for allocation criteria

Sibling status, employment, residence — no registration without the data you need for allocation.

Conditional logic

Follow-up questions appear only when relevant — the form stays short and parent-friendly.

CSV export for provider & youth welfare office

Occupancy reports and statistics from real data instead of memory.

Team access instead of single-person knowledge

Deputy and office see the same status — the waiting list no longer depends on one person.

Mobile-optimised for parents

One question per screen, completable in 5 minutes on a phone — even with a toddler on your arm.

Answers from practice

We are an independent provider without a municipal portal — is this for us?
Exactly for you. Municipal portals like Little Bird or Kita-Navigator are only open to providers connected to the city. Independent and church-run providers can set up their own digital registration with Questee — without waiting for the municipality and without a tender.
Can we ask for our own allocation criteria?
Yes — you define the questions entirely yourself. Whether sibling status, both parents employed, residence in the catchment area, hardship cases or your provider's denominational criteria: each criterion becomes a field, gladly a required one. Weighting and allocation decisions remain with you, as before.
Does Questee replace our daycare administration software?
No — Questee replaces the paper sheet and the registration Excel, not the administration of contracts and fees. You export the structured registration data as CSV and transfer it to your software, or manage the waiting list directly in the Questee dashboard.
How do we handle the weekly "where is my child on the list?" calls?
Two levers: first, every family receives a confirmation after submitting — removing the uncertainty whether the registration arrived. Second, you can explain transparently in the form how allocation works and when offers are sent. In practice, status calls drop noticeably once the process is visibly organised.
Is child data safe with you?
Child data enjoys special protection under the GDPR. Questee hosts exclusively in Germany, encrypts all transfers, offers a DPA per Art. 28 GDPR and deletes responses automatically after the retention period you set. There is no data transfer to the US.
What about parents without internet access or limited German?
The paper sheet can remain as a fallback — the office then enters those registrations into the form itself so everything lands in one list. The form can also be set up multilingually (e.g. German and English) so more families can register independently.
How fast is it set up?
With the template in about 30 minutes: adjust criteria fields, upload your logo, test the link, publish. No IT contractor, no project request to the provider needed — the free plan is enough to start.
