For church parishes

Confirmation sign-up without the paper pile in the parish office

One form link in the parish newsletter — parents register their children online: baptism details, contacts, allergies for confirmation camp. Complete, legible, nothing to retype.

~3 Std less retyping and chasing per confirmation cohort in the parish office

Sound familiar from your parish office?

The paper-slip cohort

Thirty registration slips, thirty handwritings. Half are missing the baptism date, the phone number is illegible, and in the end someone retypes everything into a spreadsheet.

Phone calls chasing missing details

Where was the child baptised? Who is the emergency contact? Any allergies for camp? Every gap on the slip becomes a phone call — often several, because no one picks up.

Camp planning with gaps

Just before confirmation camp, allergies, medication and photo consents are missing. The team plans catering and supervision with incomplete lists — an avoidable risk.

How sign-up works with Questee

  1. 1

    Create the form once

Set up the registration form with all required fields: name, baptism date and place, parent contacts, allergies, consents. The AI drafts it in 30 seconds — you just adjust. No IT skills needed.

  2. 2

    Link in the parish newsletter

Put the short form link in the newsletter, an e-mail or as a QR code on the notice board. Parents fill it in on phone or laptop — one question per screen, required fields cannot be skipped.

  3. 3

A complete list instead of a paper pile

All registrations arrive in one structured overview: sortable, exportable, with an allergy column for the camp team. You get an e-mail notification for every new registration.

Built for parish work without an IT department

Required fields, no gaps

Baptism details, emergency contact and consents are mandatory — incomplete registrations no longer exist.

Conditional logic

Allergy detail questions only appear if parents answer "yes" — the form stays short.

File upload

Upload the baptism certificate as photo or PDF right away — no follow-up e-mails.

E-mail notifications

The parish office hears about every new registration instantly — no constant checking.

Hosted in Germany

Children's data stays GDPR-compliant on German servers — DPA included for the parish council.

Draft saving

Parents can pause and resume later — say, when the baptism date needs looking up first.

Fits the parish budget

Questions from parish practice

May we as a parish collect children's data online?
Yes — what matters is that legal guardians register and consent, data is processed for the stated purpose only, and a data processing agreement exists with the provider. Questee hosts exclusively in Germany and provides the Art. 28 GDPR DPA. For church-law specifics, check briefly with your data protection officer — Questee already meets the hosting and DPA requirements.
Why not just Google Forms?
Google Forms stores data with a US corporation — exactly the argument that sinks such tools in parish councils. With Questee, baptism details, addresses and children's allergies sit on German servers, with a DPA and no US transfer. Plus required fields, file upload for baptism certificates and e-mail notifications to the parish office.
What if parents have no internet or smartphone?
The form works on any device with a browser — phone, tablet, laptop, including the grandparents'. For the rare cases without access, the parish office can enter the registration directly into the form during a conversation — that record then lands complete in the same list.
Can we collect photo and privacy consents too?
Yes — add your own consent questions (e.g. "photos at parish events: yes/no") and make them mandatory. Every answer is stored with a timestamp, so you can later prove who consented when. Differentiated options (newsletter only, website too) are no problem.
How do the allergy details reach the camp team?
All answers export as a spreadsheet — the camp team gets a complete list of allergies, medication and emergency contacts instead of sorting slips just before departure. You control who can access the responses via your Questee account.
Does the parish office need IT skills?
No. You describe what you need to the AI in one sentence ("registration form for the confirmation cohort with baptism details and allergies") and get a finished draft. Adjusting is point-and-click, no code. Anyone who can write an e-mail can maintain this form.
Can we reuse the form every year?
Yes — duplicate the form for the new cohort, adjust dates and share the new link. Each cohort's answers stay cleanly separated, and after confirmation you can delete data in a GDPR-compliant way.
