For school leaders

Applications for supply posts — complete instead of scattered

A structured application form with file upload for CV and certificates: supply teachers and career changers apply in a comparable way — you stop chasing missing attachments.

Create your application form

Hiring by inbox, the daily reality

An inbox is not an applicant file

Applications land between parent mails and education-authority circulars. One sits in spam, one went to the office, one to your private address — nobody knows how many applications there actually are.

Something is always missing

CV there, teaching qualification missing. Certificate there, but as a blurry phone photo. Career changers omit proof of their degree. Every follow-up costs days — and some applicants drop out along the way.

Nothing is comparable

Every application is structured differently: subjects in the cover letter or buried in the CV, availability nowhere. For a supply post starting next week you need answers to the same five questions — not twelve PDF styles.

How this becomes an orderly process

  1. 1

Set up the form with required fields

Subjects, availability, hours, qualification — plus mandatory file uploads for CV and certificates. Via conditional logic, career changers get their own questions about their degree. The link goes on the school website or into the job advert.

  2. 2

Applicants submit everything in one pass

Step by step through the questions, documents uploaded directly, with the option to save and resume later. Submission only works once everything required is in — incomplete applications simply cease to exist.

  3. 3

    You compare instead of sorting

All applications sit structured in one place: same questions, same order, documents attached. You filter by subject and availability and invite the right candidates straight to an interview.

Features for school recruitment

File upload

CV, certificates and proofs are uploaded directly in the form — as required fields if you wish.

Conditional logic

Qualified teacher, supply or career changer — the form branches to the matching evidence questions.

Save and resume

Applicants can pause and resume via the same link — nobody quits because a certificate still needs scanning.

E-mail notification

Every new application notifies you — so you respond before the supply teacher accepts elsewhere.

Embed on the school website

The form runs directly under "Vacancies" on your website — applicants stay on the school site.

Hosted in Germany

Applicant data and certificates sit GDPR-compliant on German servers — with an Art. 28 DPA.

No applicant tracking system needed

Free covers the typical school: 3 forms, 100 responses per month — more applications would be a luxury problem. Pro (€12/month) adds your own branding and unlimited forms.

Free

3 forms, 250 responses/month

Pro

Unlimited, 10,000 responses/month, AI included

Questions from school leadership

What about data protection for applicant data?
Application documents are sensitive personal data — which is why Questee hosts exclusively in Germany, transfers encrypted and provides the Art. 28 GDPR DPA. Once the process is finished you delete the responses and attachments yourself — keeping to the usual retention periods for rejected applications.
Why not just keep taking applications by e-mail?
E-mail has no required fields: you only notice gaps while reading — and write back afterwards. The form has completeness built in, every application is structured identically and sits in one place instead of three inboxes. On top of that: certificates in mail attachments drift through forwards uncontrolled — in the form they stay in one place.
Can career changers and qualified teachers apply via the same form?
Yes — that is exactly what conditional logic is for. The first question establishes the background, then the form branches: qualified teachers upload their teaching certificates, career changers their degree and work experience. Everyone only sees the questions relevant to them.
What files can applicants upload?
The common formats — first and foremost PDF for CVs and certificates, plus images in case someone only has a photographed scan. You define per upload field what should be provided and can mark it as required, so no application slips through without documents.
Can the form be embedded in our school website?
Yes — via embedding the form runs directly on your "Vacancies" page; alternatively you simply link to it from the advert. Both work without changes to your website system.
Do applicants need a Questee account?
No. Applicants open the link in the browser and complete the form — no registration. Anyone who needs to pause saves a draft and resumes later via the same link. The barrier stays as low as an e-mail, just with structure.
Does the AI help me build the form?
Yes — describe the post in one sentence ("supply teacher maths/physics, lower secondary, immediate start, with certificate upload") and the AI generates a form draft with fitting questions in around 30 seconds. Then adjust the details and publish — faster than writing the advert itself.
