Questions from agents' daily work

Does a form not put owners off?
The opposite — introduced properly it feels like premium service: "So I can bring a well-founded assessment to our meeting, I will send you a short form in advance." Owners who want to sell gladly invest ten minutes when the benefit is clear. And whoever ignores the form also tells you something about their intent to sell.
Which documents should I request in advance?
Proven in practice: floor plan, current land-register extract (or at least whether one exists), energy certificate, for flats the declaration of division and recent owners'-meeting minutes, for let properties the tenancy agreement. Make uploads optional — you then know before the meeting what is missing and can address sourcing it straight away.
Are the uploaded documents secure?
Yes — land-register extracts and owner data are sensitive, hence: hosting exclusively in Germany, encrypted transfer, tenant-isolated storage and optional password protection for the form. We provide the Art. 28 GDPR data processing agreement — cleaner than receiving documents as unencrypted email attachments.
Does this replace my agency CRM?
No — it feeds the process before it. CRMs manage contacts and transactions, but structured collection of property data and documents before the meeting usually remains manual there. Questee handles exactly that step; afterwards you carry the data into your system — via export or webhook into your own workflows.
Why not Google Forms for pre-capture?
Three reasons: first, a Google form does not feel like premium agency service in the acquisition moment — branding and presentation matter here. Second, Google file uploads require a Google account, excluding many owners. Third, the data then sits with a US corporation — for land-register extracts, a conversation you do not want to have with owners.
Can I ask about the price expectation discreetly?
Yes — phrase it openly ("Do you already have a price in mind?") and make it optional, with range options instead of mandatory free text. In most cases you get honest orientation without applying pressure. In the meeting you then address the gap between expectation and market assessment deliberately.
Does this work for letting mandates too?
Yes — add an opening question "sale or letting?" and branch via conditional logic: for lettings ask about expected rent, availability and fittings; for sales about price expectation and documents. One form covers both mandate types.
