For tenancy law firms

Tenancy law consultations without idle time — key data and defects already on file

Rent reduction, termination or service charge statement: the online intake form captures lease key data, a defect list with dates and photos, plus prior correspondence — before the client sits in front of you.

1 Termin instead of two — when lease, defect list and correspondence arrive in advance

Why tenancy consultations often happen twice

The lease is at home

Lease start, base rent, decoration clause, stepped or indexed rent — it is all in the contract the client did not bring. Without this data you can assess neither a rent increase nor a termination properly. A second appointment is inevitable.

Defects without dates are no reduction

"The mould has been there forever" does not help with a rent reduction. You need: which defect, since when, when reported to the landlord, what did he do. Reconstructing this chronology in conversation takes time — and stays vague anyway.

Correspondence arrives in slices

Warning letter, defect notice, property manager's reply — after the appointment the client emails one document, then another. The file grows unsorted, and every late delivery costs your office filing work.

How intake works with Questee

  1. 1

Build the form by case type

One form, several paths: the client first picks their issue — rent reduction, termination, service charges, deposit, rent increase. Conditional logic then shows only the relevant questions: defect chronology for defects, statement years for service charges.

  2. 2

    Client uploads lease and evidence

Lease, defect photos, defect notice, statement, termination letter — all in the same form, from the sofa, with save-and-resume. The client copies nothing and forgets nothing: required fields ensure completeness.

  3. 3

You start with a solid file

By the appointment, key data, defect chronology and documents are structured and ready. You assess in advance whether the mandate is viable and use the meeting for evaluation and strategy — not for an inventory of the tenancy.

Built for document-heavy mandates

Conditional logic

Rent reduction, termination or service charges — the form branches by issue and stays short for everyone.

File upload

Lease, defect photos and correspondence collected in the form instead of trickling in by email.

Save and resume

Find the lease first, continue later — the same link returns to the unfinished intake.

Hosted in Germany

Mandate data GDPR-compliant with a DPA on German servers — compatible with your duty of confidentiality.

Email notification

New intakes announce themselves — your office schedules the appointment with a complete file.

Embeddable on your website

The intake form runs right on your firm's site — prospects start without a detour.

Questions from tenancy law practice

Does the form calculate reduction rates or give legal advice?
No — deliberately not. Reduction rates, the validity of a termination or reviewing a statement are your legal work. The form exclusively captures facts and documents so you can deliver that work on a complete basis. Legal services stay where they belong: with the firm.
How do I capture a defect chronology in a structured way?
Per defect you ask: type of defect, affected room, since when, when and how reported to the landlord, his reaction — plus photo upload. With conditional logic the loop repeats for multiple defects. The result is a chronology you can carry over into the defect notice or statement of claim almost unchanged.
How is this different from a tenant rights app?
Tenant apps and legal tech portals advise consumers directly — and take the mandate away from you. Questee is the opposite: your own intake tool, in your branding, channelling mandates into your firm instead of a portal. The data is yours, the client stays your client.
Are the lease and defect photos safe with you?
Yes — uploads are transferred encrypted, scanned for malware on receipt and stored tenant-isolated on servers in Germany. You receive the Art. 28 GDPR data processing agreement from us; no US cloud transfer takes place. That is the basis on which you can cleanly meet your confidentiality and GDPR obligations.
Does this work for landlord mandates too?
Yes — simply create a second form: rent arrears with months and amounts, contract breaches, prior warnings, own-use grounds, condominium context. Many firms run two tracks: one intake link for tenants, one for landlords and property managers — both converge in the same Questee account.
Why not Typeform for client intake?
Typeform is pretty, but stores your mandate data with a provider tied to the US cloud — an avoidable risk for holders of professional secrets, one you would have to justify in your privacy documentation. Questee hosts exclusively in Germany, ships the DPA and costs a fraction on the Pro plan. Conditional logic, uploads and save-and-resume are equally on board.
How does the form reach the client?
Three routes, combinable: as a link in your office's appointment confirmation, embedded on the firm's website under "tenancy law", or as a QR code on your business card. The client needs no app and no account — open the link, fill it in, done.
