Are we even allowed to use this as a public university?
Yes — that is exactly what Questee is built for: hosting exclusively in Germany, an Art. 28 GDPR data processing agreement included, no data transfers to the US. That covers the requirements where Google Forms fails at many universities. Best clear the use briefly with your data protection officer — we provide the DPA.
Why not just Google Forms?
Because application documents are sensitive personal data, and Google Forms is banned at many German universities for data protection reasons. On top of that, Google Forms cannot cleanly handle required multi-document uploads and offers no DPA for your institution. Questee hosts in Germany and is designed for exactly these processes.
Does this replace our campus management system?
No, and it is not meant to. Formal enrolment continues through your university's central systems. Questee covers the step before that: the chair- or institute-level selection process for which central systems are too rigid or too slow. You keep control of your process without waiting for an IT project.
Which file formats and sizes can applicants upload?
PDF, common image and office formats — you define per upload field what is allowed. Every uploaded file is automatically scanned for viruses before it lands in your workspace. The committee gets clean, safe documents instead of questionable e-mail attachments.
Can international applicants complete the form in English?
Yes — you maintain the form once and enable the English version alongside. Applicants pick their language themselves, and the answers still land in one shared, comparable dataset. For international master's programmes that is the biggest difference to the e-mail process.
How does the selection committee review applications?
All submissions sit structured in the results area: same fields, same order, documents attached to each application. You can export the data and walk through it in the committee meeting against your criteria — instead of juggling twenty parallel e-mail threads.
What happens to the data once the process is over?
