For trade fair & exhibition organisers

Exhibitor enquiries that arrive quote-ready

Stand type, floor space, power needs, budget — one form captures everything you need for a quote. Conditional logic asks only the questions that match the chosen stand type.

You know the follow-up ping-pong

"We would be interested in a stand"

That is often all the email says. No size, no stand type, no budget. You reply with five questions, the exhibitor answers three — and a week later the power requirement is still missing.

The 1995 PDF registration sheet

Print, fill in, scan, email back — many exhibitors give up or return illegible handwriting. And in the end, you type the data into your spreadsheet yourself.

Floor planning without a data basis

As long as enquiries are incomplete, you can neither calculate floor space nor lock in hall plans. Planning only starts once the last straggler finally delivers all the details.

How enquiries arrive complete

  1. 1

Set up the form with stand-type logic

Stand type (row, corner, end, custom build), floor space, power and water needs, budget range, logo upload for the exhibitor directory. Conditional logic shows e.g. structural questions only for custom builds.

  2. 2

Exhibitors complete it in one pass

One question per screen, clear required fields, draft saving for details that need internal sign-off first. No printer, no scanner — fillable from a phone on site.

  3. 3

    You calculate instead of chasing

Every enquiry lands complete via email notification or webhook into your exhibitor list. Space, technicals, budget — all there. You write the quote straight away and plan the hall with real numbers.

Built for exhibitor acquisition

Conditional logic by stand type

Custom builds get structural and set-up-time questions, system stands do not — nobody sees irrelevant fields.

In-form calculations

Show a non-binding price estimate from floor space and stand type instantly — exhibitors know where they stand.

File upload

Logo for the exhibitor directory and stand sketch right in the enquiry — no trailing email attachments.

Draft saving

Budget needs internal sign-off first? Exhibitors pause and continue via the same link.

Webhooks & email

Every enquiry automatically into your CRM or exhibitor list — plus a notification to your sales team.

GDPR & hosted in Germany

Company data and budgets sit on German servers — with a DPA, not in the US cloud.

Questions from fair organisation

Why not just the PDF registration sheet as before?
The PDF sheet has three problems: no logic (everyone sees every field, relevant or not), it forces printing/scanning or fiddly PDF editors, and you end up retyping the data manually. An online form validates required fields as exhibitors type, adapts to the stand type and gives you structured, exportable data — zero retyping.
How does the stand-type logic actually work?
You define rules like: if stand type = "custom build", show questions on stand height, structural certificate and set-up time; if "system stand", show the equipment packages instead. Exhibitors only see their path — the form stays short, your data stays complete.
Can I show a price indication right in the form?
Yes — with the calculation feature you compute e.g. floor space × price per square metre + stand-type surcharge and display it as a non-binding estimate. That filters early: those without the budget never enquire — those who do are pre-qualified.
Is exhibitor company data secure?
Yes — hosting exclusively in Germany, encrypted transfer, tenant-isolated database, Art. 28 GDPR DPA included. Your exhibitors' budget details and contacts do not sit with a US provider or circulate as email attachments around the team.
Can exhibitors send their logo right away?
Yes — via file upload right in the form, e.g. the logo for the exhibitor directory and a stand sketch. You receive the files collected and matched to the exhibitor, instead of gathering and renaming them one by one via email later.
How do enquiries get into our exhibitor management?
Via webhook in real time to your CRM or sheet, via email notification to the responsible sales contact, or as an export of all answers. Fields are structured — floor space is a number, stand type a choice — and feed straight into your workflow.
Does this replace full trade-fair software?
No — by design. Questee handles the enquiry and data capture: complete, structured exhibitor enquiries including uploads. Hall planning, contract management and admission stay in your existing tools. For mid-sized, regional and in-house fairs, exactly this combination is the economical route.
