Questions from committee work

Does the form replace the formal invitation?
No — you still send the invitation as your statutes require (letter, email, club magazine). The form adds the return channel: instead of "RSVP" with no replies you get structured registrations and motions. The link fits any invitation format, including a QR code in a letter.
Are submitted motions documented within the deadline?
Yes — every submission is stored with a timestamp. If your statutes require motions two weeks before the meeting, you can prove unambiguously what arrived in time. That protects the committee from debates on the night.
Why not just Doodle or a round-robin email?

How do we make sure only members respond?

What happens to the data after the meeting?
Registration data and meal choices can be deleted after the meeting — data-minimal in the spirit of GDPR. Export the motions beforehand for the minutes. Until then everything sits encrypted in transit and tenant-isolated on German servers, with an Art. 28 GDPR DPA.
Can we capture proxy voting authorisations too?
If your statutes allow proxies, add a field — who represents whom — and let members attach the signed proxy document via file upload. Whether digital form suffices is a matter for your statutes; the form at least makes the capture complete and traceable.
