When speed matters, paper fails

The phone chain eats the morning

Strike on Thursday, news on Monday — and the office phones its way through class registers, leaves voicemails and waits for callbacks. With 300 families that is simply not doable.

Replies in twenty formats

One email saying "yes, both children", a call saying "Thursday morning only", a slip with no class given. Every reply must be interpreted and transferred to a list — error-prone and slow.

Staffing by gut feeling

Half the replies are missing by the deadline — so you plan on suspicion: too many staff called in or too few groups formed. Both cost, and both land on you on the care day itself.

Needs survey with a deadline — in three steps

  1. 1

    Create the survey in minutes

Child and class, care days, time window, pick-up authorisation, emergency contact — built once as a form, AI-drafted in 30 seconds. For the next bridge day you simply duplicate it.

  2. 2

    Parents register in two minutes

Share the link via school email or messenger, state the deadline clearly. Parents reply on their phones, no app, no account — even at nine in the evening when school email gets read. In German or English.

  3. 3

    Plan with real numbers

Responses come in live: how many children per day, which time windows, which classes. You form groups and plan staff based on numbers, not guesses — and export the attendance list while you are at it.

Built for short-notice needs surveys

AI generation in 30 seconds

When the strike is announced on Monday, the survey is live by noon — not Wednesday.

Conditional logic

"No need" ends the survey after one question — only families needing care see the detail questions.

Live results

Track submissions in real time — you see which way the numbers are heading before the deadline.

Email notification

Every registration straight to your inbox — or collected in the results view, as you prefer.

Questions from leadership and the office

What about data protection — we are capturing children's data?
Questee hosts exclusively in Germany, transfers data encrypted and provides the Art. 28 GDPR DPA for the school authority. For minors' data, minimisation applies: capture only what care planning needs — name, class, days, emergency contact. After the care day, export the list and delete the online responses.
Our school messenger does polls — why Questee?
Messenger polls deliver yes/no clicks, but no structured registrations: no time window per day, no pick-up authorisation, no emergency contact, no exportable attendance list. Questee captures the complete record per child — and the link still distributes nicely via your messenger. The two complement each other.
And why not Google Forms?
Because many schools prohibit it for personal data — all the more for children's data: US provider, unclear storage location, critical assessments by state data protection officers. Questee offers the same setup speed but stores in Germany and ships the paperwork for your data protection officer.
How do I enforce a binding deadline?
State the deadline clearly in the school email and in the form itself — and close the form on the cut-off date so no further registrations come in. Latecomers contact the office: a documented exception rather than the rule. A reminder one day before the deadline noticeably lifts the response rate.
What about families with little German or no smartphone?
The form runs bilingually (DE/EN) and in the browser on any device — including a library PC or a neighbour's phone, no app, no account. For the few families not reachable digitally, the office phone call remains — but for five families instead of three hundred.
Can one survey cover several days at once?
Yes — for example both May bridge days in one survey, with day selection and a time window per day. Results show demand per day separately, so you can plan staff day by day. For recurring occasions, duplicate the form and just adjust the dates.
How fast can such a survey really go out?
Realistically: under an hour from "we need a survey" to the link being sent — the first time. After that it gets faster, because you duplicate the existing form and only change occasion and dates. AI generation builds the first draft in 30 seconds; the rest is polish.
