For agencies that don't play every pitch

Qualify pitch requests before you invest days

Structured pitch and tender enquiry: scope, timeline, budget range, decision process and number of competing agencies — answered before your team builds a single slide.

2-5 Tage typical team effort per pitch — now spent only on requests with a real chance

Why pitches are so expensive

Pitching without budget clarity

The team spends a week on concept, creative builds cases — and in the negotiation it turns out the budget is half the smallest sensible scope. Nobody had asked beforehand.

You're just the price comparison

Some tenders already have a favourite — you're delivering the obligatory comparison quotes. Without questions about the decision process and agency count, you only find out from the rejection email.

Enquiries without usable content

"We need a campaign, give us a call" — and your team chases the requirements by phone: which channels? What timeframe? Who decides? Every clarification loop costs days before the go/no-go.

Go/no-go in minutes, not meetings

  1. 1

    Set up your qualification form

Define once what you must know before any pitch: the brief, desired services, timeline, budget range as a select, decision path, number of invited agencies, pitch remuneration. The link replaces "just send us something".

  2. 2

    Prospects deliver structured input

One question per screen, tender documents attached via file upload, draft saving for enquirers who first need internal budget sign-off. Whoever won't complete it wouldn't have decided in the pitch either.

  3. 3

    Decide with all the facts

Every enquiry sits comparably structured in your dashboard: budget fits, decision-maker at the table, three agencies instead of eight? Go. Otherwise: a polite decline in five minutes — and your team builds slides only where it pays.

Built for the go/no-go decision

Conditional logic

Tender detail questions only for formal procurement, campaign questions only for campaign requests — the form adapts.

File upload

Tender documents, briefing PDFs and brand material land right with the enquiry instead of in separate emails.

Your branding (Pro)

The enquiry flow carries your logo and colours — a confident appearance instead of a generic form.

Draft saving

Enquirers can pause, clarify internally and resume — important for budget and process questions.

Email + webhook

New enquiries instantly in your inbox and via webhook in your CRM — new business responds the same day.

Hosted in Germany

Confidential tender details stay GDPR-compliant on German servers, DPA included.

Questions from new-business life

Doesn't a qualification form put off potential clients?
Not the serious ones — anyone seeking an agency for a five-figure project will answer ten structured questions. It even signals professionalism: you treat your own time as carefully as you'll later treat the client's budget. Whoever the form deters would likely have used you as a comparison quote.
How do I ask about budget without seeming rude?
With select ranges instead of a free text field, plus an honest help text: "The range helps us judge which approach is realistic — we don't quote to the maximum." Include a "not defined yet" option; that answer is a valuable go/no-go signal too.
Which questions expose token tenders?
Three proven ones: "How many agencies are invited?", "Is there an existing agency relationship for this area?" and "Who makes the final decision, by which criteria?". Evasive or missing answers to these three are the clearest warning sign — clearer than any gut feeling after a phone call.
Why not just a contact form or Google Forms?
A contact form doesn't qualify — you get "please call back" and end up chasing by phone anyway. Google Forms could ask the questions but looks like a stopgap to marketing decision-makers, your most appearance-critical audience. Questee delivers the structure plus your brand presence plus conditional logic, file upload and GDPR hosting in Germany.
Is tender data kept confidential enough?
Yes — enquiries often contain confidential budgets and internal plans. Questee hosts exclusively in Germany, transfers encrypted (HTTPS), isolates data per tenant and provides the Art. 28 GDPR DPA. Optionally protect the form with a password, e.g. for individually sent enquiry links.
How do I wire this into our new-business process?
The form link replaces the "contact us" step: embedded on the site, in your new-business email signature, as the reply to inbound requests. Submissions arrive via email notification and webhook — connect the latter to your CRM or internal tooling. We don't promise native project-management integrations; the webhook is the honest route.
Can we run several enquiry flows in parallel?
Yes — say a short flow for existing-client extensions and a detailed one for new-client tenders, or separate forms per unit (brand, performance, digital). Pro includes unlimited forms, each with its own notifications and analytics.
