For shop owners

Exchange requests complete in one round — instead of five e-mails

Your exchange form asks everything at once: which item, which preferred size, and what should happen if it is out of stock. You get one complete request instead of an e-mail chain.

What exchanges by e-mail look like today

The size-swap ping-pong

"The jacket is too small" — fine, but which order, which colour, which size instead? Three follow-ups later the preferred size is sold out and the ping-pong starts over. A simple swap turns into five working days.

The "what if out of stock?" gap

The most common reason for round two: the preferred size is unavailable. Does the customer then want to wait, take another colour, or get a refund after all? Nobody asks that upfront by e-mail — so you ask afterwards. Every time.

Annoyed customers, tied-up stock

While the e-mail chain runs, the item sits with the customer and the preferred size is reserved or gone. The longer the exchange takes, the more likely "swap" becomes "refund" — and a repeat buyer becomes a one-time customer.

With Questee: everything in one step

  1. 1

Set up and embed your exchange form

Order number, item, current size, preferred size/colour — and the decisive question included: "If unavailable: wait, alternative or refund?" Embedded into your shop page via code snippet, in your design.

  2. 2

    Customer answers everything at once

One question per screen guides through the request — on mobile and desktop alike. Conditional logic shows only relevant questions: choose "different colour" and you see the colour options; prefer "refund" and you skip them. The request is complete in two minutes.

  3. 3

You swap immediately — no follow-up needed

The complete request reaches you via e-mail notification or webhook. Preferred size in stock? Ship it. Not in stock? The customer's preference is already there — you act directly instead of asking. One exchange, one round, done.

Everything for the one-round exchange

Conditional logic

Colour options only for colour swaps, refund note only when a refund is preferred — the form thinks along.

Common questions about the exchange form

Does the form know my stock levels?
No — and that is deliberate: Questee is not a shop plugin but an embeddable form. That is exactly why you ask for the availability preference ("If unavailable: wait, alternative or refund?"). This makes the request complete in one round even without stock integration. If you want more, connect your own system via webhook.
How is this different from a normal contact form?
A contact form has a free-text field — which again says "trousers too small" and the ping-pong begins. A structured exchange form enforces order number, item and preferred size as required fields and uses conditional logic to cover the contingencies. The difference is not the form, it is the completeness of the first request.
Is this GDPR-compliant for my customer data?
Yes — Questee hosts exclusively in Germany, transfers are encrypted, and you get the Art. 28 GDPR DPA. Exchange requests contain order and contact data, i.e. personal data — with German hosting you are on the safe side, with no US-transfer discussion in your privacy policy.
Why not use Typeform for this?
Typeform makes pretty forms — but stores your customer data with a US provider and gets expensive quickly at any meaningful response volume. Questee offers conditional logic, embedding and webhooks at a predictable price (Pro: €12/month) with hosting in Germany. For a shop processing customer data, data residency is not a detail.
Can a customer exchange several items in one request?
Yes — you can provide multi-select fields or repeatable item blocks (item, current size, preferred size per position). For most shops, one block plus the question "Do you want to exchange another item?" with conditional logic is enough. The form stays short for the common case and only grows when needed.
Does Questee also handle shipping the replacement item?
No — Questee structures the request; shipping and labels stay with your carrier. But because the request arrives complete, you can ship the replacement immediately instead of clarifying follow-ups first. Via webhook, the downstream process (generate label, notify warehouse) can be automated.
How fast can I get such a form running?
With AI generation you describe your form in one sentence ("exchange form for a fashion shop with size and colour swaps") and get a draft in about 30 seconds to refine. Embedding via code snippet takes another five minutes. Realistically you are live in under half an hour.
