For placement coordinators & school leadership

Capture work-experience placements — without chasing slips across three year groups

Pupils report their placement online in a structured way: company, contact person, period, role. You see at a glance who is sorted and where details are still missing.

What placement coordination often looks like today

Confirmations on scrap paper

One pupil brings a handwritten note, the next half an email from the company, a third mentions it in the corridor. Three formats, no standard — and something is missing everywhere.

Incomplete company details

For supervision visits and insurance questions you need address, contact person and phone number — exactly what is missing from the slips. So you ring around, class by class.

No overview of who is still searching

Four weeks before the placement starts you cannot reliably say who has no place yet. Pupils who need support only surface when it is almost too late.

Structured capture instead of a slip collection

  1. 1

Set up the capture form once

All required details as form fields: name and class, company with address, contact person, period, planned role, confirmation upload. Required fields make sure nothing can be missing.

  2. 2

Pupils report their place via link

Share the link via the form tutor or parent letter — completable on a phone, no app, no account. Pupils upload the company's confirmation as photo or PDF right in the form.

  3. 3

    You coordinate with complete data

All placements sit in one structured overview: filterable by class, exportable for supervisor allocation and visit planning. Comparing against the class register instantly shows who is missing.

Made for placement coordination

File upload for confirmations

Company confirmation as photo or PDF right in the form — no slip needed at the office.

Required fields & validation

Address, contact person, period — the form cannot be submitted without complete details.

Conditional logic

"No place found yet?" opens its own branch — so you spot pupils needing support early.

Save and resume

Missing the company phone number? Pause and resume later with the same link.

Questions from coordination practice

Is this GDPR-compliant — we are dealing with minors' data?
Yes, and that is exactly why Questee exists: hosting exclusively in Germany, encrypted transfer, tenant-isolated storage and the Art. 28 GDPR DPA for the school authority. Minors' data demands special care — collect only what coordination and duty of care require, and delete after the placement ends.
Our school has banned Google Forms — what does Questee do differently?
The ban typically targets storing pupil data with US providers. Questee stores exclusively on servers in Germany, never analyses data for its own purposes and provides what the data protection officer wants to see: DPA, technical measures, a clear storage location. The handling stays as simple as Google Forms.
Can pupils complete this on their phones without installing anything?
Yes — the form runs entirely in the browser, one question per screen, optimised for phones. No app, no account, no password. The placement confirmation can be photographed with the phone camera and uploaded directly.
How do I spot who has no placement yet?
Two ways: first, compare submissions against the class register — whoever has not submitted usually has no place. Second, a dedicated "Do you have a place yet?" question with branching: pupils choosing "not yet" instead state which field they are searching in — and you can match them deliberately.
What about the companies — do they have to fill something in too?
Your choice. By default pupils enter the company details and upload the signed confirmation. Alternatively, create a second short form for companies — e.g. to confirm period and contact person. Both forms live in the same workspace overview.
Can the form be reused next school year?
Yes — duplicate the form, adjust period and year group, send a fresh link. Each cohort's responses stay cleanly separated. Build the standard once, reuse it every year.
Does this replace our school management software?
No, and it is not meant to. Questee fills the gap school management software usually leaves open: structured capture from outside — from pupils and parents, without access to the admin system. Export the finished list and continue working wherever you like.
