Answers from the school office

Are we allowed to collect pupil data online at all?
Yes — German state school laws permit data collection for enrolment; what matters is GDPR-compliant processing. Questee hosts in Germany, provides a DPA (Art. 28 GDPR) on request and uses no US subprocessors. Many school authorities require exactly that.
What about parents without a computer or internet?
The form runs entirely in a smartphone browser — no app needed. For the rare cases without any access, the paper form remains as a fallback; the office can also enter answers in the form itself, keeping the data consistent.
Can parents upload documents like the birth certificate?
Yes — a photo taken with the phone camera directly in the browser is enough. Up to 25 MB per file, allowed types include PDF, JPG, PNG. Every file is virus-scanned automatically, downloads run via signed links. Originals are checked at the in-person appointment.
How do the data get into our school admin software?
Via CSV export. Systems like LUSD have no parent frontend — Questee closes exactly that gap upstream: parents enter the data, you export and import in bulk instead of retyping form by form. You define the column mapping once.
What happens to data of rejected or relocated children?
You set a retention period per form; after that an automatic retention policy deletes the data — with an audit trail. Individual enrolments can be deleted manually at any time, e.g. when parents enrol elsewhere.
Can separated parents fill in together?
The form can be saved as a draft and resumed via the same link — parent A starts, parent B completes. For custody special cases, conditional logic shows targeted extra questions and a document upload.
