Recognise these ordering rounds?

Book money in envelopes

Class teachers collect cash, count it, store envelopes in the staff room. If money is missing at the end, the awkward search begins — and nobody wants to be liable.

Order lists lost in school bags

The order slip travels home via the children — and returns crumpled, half completed or not at all. Chasing happens via homework diaries and reminder notes.

Everything retyped by hand

On deadline day the office retypes hundreds of paper slips into a spreadsheet — class by class, with queries about illegible handwriting. A full working day, every school year again.

How collective ordering works with Questee

  1. 1

Set up the order form in minutes

Add titles, material bundles and prices as choice questions, class as a required field, set a deadline. With AI generation the first draft is ready in 30 seconds — you just adjust the title list.

  2. 2

    Parents order via link

One link via the parent letter or school email is enough — no app, no account. One question per screen, on mobile too, in German or English. Calculations show the order total instantly.

  3. 3

    Finished list sorted by class

All orders arrive structured in one place — filterable by class, exportable for the bookshop or school authority. No retyping, no illegible handwriting.

Questions from the school office

May we use this for pupil data — what about GDPR?
Yes. Questee hosts exclusively in Germany, transfers data encrypted and provides the Art. 28 GDPR data processing agreement. With minors' data this is crucial: no US cloud, no ad profiling, tenant-isolated storage. Also collect only what the order needs — name, class, selection.
Why not just Google Forms?
Many schools prohibit Google Forms for personal data because it sits with a US provider and state data protection officers view that critically. Questee is the German alternative: same simplicity, but hosted in Germany with a DPA — nothing to justify before the school board or data protection officer.
Do parents need to install an app or create an account?
No. Parents simply open the link in the browser — on phone or computer. No account, no download, no credentials to lose. That lowers the barrier enormously and clearly beats paper slips on response rates.
How do we track who has not ordered yet?
All submissions are shown filtered by class in the results view. You compare against the class register and remind specifically — instead of messaging all parents again. A deadline in the parent letter plus one reminder shortly before works well.
Can parents pay online directly?
Yes, optionally: Questee supports Stripe payments right in the form. Whether that fits your school depends on the school authority — many schools capture orders online and handle payment by bank transfer. Both work; either way, collecting cash is over.
What happens to the data after the ordering round?
You export the finished list and can delete the responses afterwards — data minimisation, as GDPR requires for pupil data. The data belongs to your school, not us; it is neither analysed nor shared.
Does this also work for workbooks, copy fees or material bundles?
Yes — the form is fully flexible: required titles per year group, optional workbooks, fixed-price material bundles or copy fees as a flat amount. With conditional logic parents only see their year group's items, and the total adds up automatically.
