For school leadership & offices

Device and material handouts without the queue outside the school office

Assign collection slots and capture receipt confirmations digitally — for loan devices, book crates and material packs. Parents pick their slot via link, you hand out calmly.

0 Min corridor waiting time when handouts run in planned slots

Handout day — and the corridor is packed

Everyone shows up at once

The device handout is "Tuesday from 2pm" — so at 2pm eighty parents crowd the corridor. The office works flat out, tempers fray, and by 4pm not everyone has been served.

Receipts on paper lists

Who received what gets ticked off on printed class lists — with initials nobody can decode three months later. If a device goes missing, there is no solid proof of handover.

Latecomers without a system

Whoever misses handout day knocks on the office door individually for weeks — each time searching the list, the device, improvising the handover. The remainder drags on for weeks.

Planned slots instead of an open corridor

  1. 1

    Define slots and confirmation

Set collection times as choice options — say 15-minute slots across two afternoons — plus fields for name, class and acceptance of the loan terms. AI generation builds the skeleton in 30 seconds.

  2. 2

Parents pick their slot via link

Share the link in the parent letter or via form tutors — no app download, no account, done on a phone in two minutes. In German or English, whatever the family prefers.

  3. 3

    Hand out, tick off, documented

At handout time you work through the slot list: a handful of families per slot instead of a packed corridor. Receipt confirmation is captured digitally — who took over what, and when, is cleanly documented and exportable.

Built for handout logistics at schools

Time slots as choices

Collection times as choice options — families spread themselves across handout days.

Digital receipt confirmation

Confirm loan terms and document the handover — traceable instead of initials on paper.

Conditional logic

Device, book crate or material pack — each handout type shows only its own follow-up questions.

Email notification

Every slot booking lands in the office inbox immediately — the day plan writes itself.

Questions about handouts

What about data protection for pupil and parent data?
Questee hosts exclusively in Germany, transfers data encrypted and provides the Art. 28 GDPR DPA. As minors' data is involved: collect only what the handout needs — name, class, slot, confirmation. After the round, export the documentation and delete the online responses.
Why not Doodle or Google Forms for the slots?
Doodle distributes appointments but captures no receipt confirmation and no structured extras like class or device type. Google Forms is banned for personal data at many schools (US provider). Questee combines both — slot choice plus confirmation — hosted on German servers.
Does the digital receipt confirmation count as proof?
The confirmation documents traceably who accepted which loan terms and confirmed the handover, and when — far more robust than initials on a paper list. Whether your school authority additionally requires a handwritten signature is worth clarifying upfront; many combine both: slot and data digitally, signature at handover.
What if a slot gets overbooked?
Plan each slot generously — around five families per 15-minute slot — and watch submissions via email notifications. If a slot fills up, remove it from the options and add a new one. For class-by-class handouts you can offer slots per class from the start.
Does this work for returns at the end of the school year?
Yes — the same principle in reverse: offer return slots, ask about the condition of the device or books, confirm the return. Duplicate the handout form and adjust the questions. Handout and return are documented end to end.
Do parents need an app or an account?
No. The link opens in the browser, on any phone or computer. No download, no registration, no password — for parents short on time or tech routine, that is the difference between "done" and "left undone".
How do we handle latecomers who miss their slot?
Keep the form open after the main date and add latecomer slots — say one fixed time per week. Whoever misses their slot rebooks themselves instead of turning up unannounced. The remaining handouts stay plannable.
