Answers from care practice

May we collect health data via an online form?
Yes, with the right safeguards. Health data is a special category under Art. 9 GDPR — you need consent, encryption and a DPA with the provider. Questee hosts in Germany, encrypts transfers, provides the DPA (Art. 28 GDPR) and uses no US subprocessors. Google Forms doesn't qualify here.
Can older relatives handle an online form?
The form shows one question per screen, large type, clear buttons — on tablet or smartphone too. Those who can't fill in online get the paper form as a fallback; your staff can also enter answers directly during a conversation.
How does this help with quality audits?
Biography work is a mandatory part of care process planning under SGB XI. A complete, dated biography record per resident — exportable as PDF for the file — shows auditors traceably what individual care planning is based on.
Can several relatives work on the same form?
Yes — the form can be saved and resumed via the same link (30 days). Daughter, son and spouse contribute one after another. The result is a fuller picture than any single move-in appointment could deliver.
Do the data get into our care software (Vivendi, DAN)?
Via CSV or PDF export. Care software has no relatives frontend — Questee closes exactly that upstream gap: relatives enter structured data, care management transfers reviewed data instead of deciphering handwritten folders.
What happens to the data after a resident moves out or dies?
You set a retention period per form; an automatic retention policy deletes expired data with an audit trail. Individual records can be deleted manually at any time — e.g. at relatives' request under Art. 17 GDPR.
Can we adapt the form to our facility?
