For tournament organisers & sports clubs

Tournament entries with fees: fully registered, paid on the spot

Name, club, age group, entry fee — one form captures everything and collects payment via Stripe at sign-up. No follow-up emails, no bank-statement matching.

Tournament admin nobody enjoys

Entries by email — always incomplete

"I hereby register, cheers Mark." Which age group? Which club? Which event? The organiser chases every second entrant and maintains a spreadsheet that is never up to date.

Entry fees: the eternal chase

Registering is quick, paying comes later — or never. Before the tournament someone spends hours matching transfers against the entry list, and on the day people argue at the desk about who already paid.

Deadline chaos

Late entries via WhatsApp, withdrawals by phone, changes passed on verbally. Seedings and the match schedule are built on a list nobody trusts any more.

How Questee organises your tournament

  1. 1

Build the entry form with required fields

Name, club, age group, event, contact — all required, plus the entry fee as a Stripe payment at the end. The AI drafts it in 30 seconds; you add your categories and prices.

  2. 2

Entrants register and pay in one step

Link in the announcement, on the club website and mailing lists. Entrants complete it on their phone and pay the fee by card — whoever submits has paid. Incomplete entries no longer exist.

  3. 3

Export the entry list, build the schedule

Every entry complete and paid in one overview — filterable by age group, exportable as a spreadsheet. Seedings and schedules come from reliable data, not email archaeology.

Built for tournament day

Entry fee via Stripe

Card payment right inside the form — an entry only completes once the fee is paid.

Fee calculation

Singles plus doubles, junior discount? Calculations show the live total before payment.

Questions per event

Conditional logic: the doubles-partner question only appears when someone enters the doubles.

Required fields against gaps

Age group, club, emergency contact — no entry submits without complete details.

Notification per entry

Every new entry emailed to the organisers — you watch the field grow without checking manually.

GDPR-compliant in Germany

Entrant data — including juniors' — stays on German servers, with a DPA.

Questions from tournament organisers

How exactly does entry-fee payment work?
At the end of the form the entrant pays via Stripe — card or common wallets. The money goes to your Stripe account, linked once to the club bank account. The entry list shows payment status per registration; bank-statement matching disappears entirely.
What about late entries and withdrawals?
Simply close the form at the entry deadline — no more registrations, no arguments. For late entries, reopen it deliberately or create a separate late-entry form with a higher fee. Withdrawals are managed in the response overview.
Can parents enter their children for the junior tournament?
Yes — add fields for the parent or guardian and a consent confirmation. Conditional logic shows these fields only for junior age groups. Parental consent is documented before the child appears on the schedule.
Is entrant data stored GDPR-compliantly?
Yes — hosting exclusively in Germany, encrypted transfer, tenant-isolated database and an Art. 28 GDPR DPA. Especially important for juniors' data. After the tournament, export and delete — data-minimal, as it should be.
Why not our federation's entry portal?
Federation portals usually cover official league play only — nothing there for your open club tournament, fun tournament or town cup. Questee fills exactly that gap: freely designed entries with payment, no federation bureaucracy, in your wording.
What does it cost us per entrant?
Questee charges nothing per entrant — the free plan covers 100 responses per month, Pro (€12/month, €9/month annually) lifts the limit and removes Questee branding. Card payments incur the usual Stripe transaction fees; many clubs simply build them into the entry fee.
Can I export the entry list for the draw?
Yes — all responses export as a spreadsheet, sorted by your fields such as age group or event. Feed it into your draw or schedule tool without retyping a single entry.
