For team managers & section leads

Kit group orders without wrong sizes and unpaid bills

Size, printing, shirt number and payment in one form. You hand the supplier a complete list — and never chase a tenner again.

Build the order form

~4 Std of manager time saved per group order — no collecting cash, no retyping

The group order, a volunteer classic

Sizes shouted across the changing room

"I need M — or L, I will measure at home!" Shouts and voice messages become a list where half is guesswork. When the boxes arrive, every third shirt does not fit.

Printing wrong or forgotten

Initials, shirt number, club crest yes/no — something gets lost copying from WhatsApp into the spreadsheet. Printed shirts cannot be exchanged: the mistake is final and costs the club money.

The manager fronts the money

The order goes out at once, the money comes "at next training". Three months later €80 is still missing, and the manager is dunning clubmates — the most awkward job in volunteering.

How Questee handles the group order

  1. 1

Build the form with your range

Shirt, shorts, socks, training jacket — with size-chart notes, printing fields and prices. The AI drafts it in 30 seconds; you enter your supplier's items.

  2. 2

Everyone orders themselves — and pays at once

Link into the team group. Everyone picks size, printing and number calmly on their phone — the total is calculated live and paid via Stripe immediately. Ordered means paid. Full stop.

  3. 3

    Finished list to the supplier

Export all orders as a spreadsheet — sizes, printings, numbers, quantities — and send it to the supplier. No retyping, no transcription errors, no outstanding payments.

Built for club group orders

Stripe payment inside the form

Card payment at the moment of ordering — nobody fronts money, nobody dunns clubmates.

Live total per order

Shirt + shorts + printing: the calculation shows the total before payment.

Printing fields only when needed

Conditional logic: choose printing and you enter name and number — everyone else finishes faster.

Size as a required field

No order without a size — "I will measure later" is no longer an option.

Order notifications

Every order arrives by email — you see who is missing and nudge them specifically, not everyone.

Data stays in Germany

Names, sizes and contact details GDPR-compliant on German servers — important for youth teams too.

Questions from team-manager life

Where does the order money go?
Straight to your Stripe account, linked to the club or team bank account — not via Questee and not via the manager's private account. Card payments carry the usual Stripe fees; many teams simply add them to the unit price.
How do we prevent wrong sizes?
Link your supplier's size chart right in the question and add a help text ("runs small — size up if unsure"). Because everyone orders calmly at home rather than in changing-room chaos, people actually measure. Size is required — no more guessing.
What about orders for kids in the youth team?
Parents order and pay — add a "child's name" field so handing out the kit works smoothly. Data sits GDPR-compliant on German servers; once the order is done you can export and delete it.
Why not just the WhatsApp group and a spreadsheet?
Because that is exactly where the errors happen: voice messages get mistyped, change requests drown in the chat, and cash trickles in. The form captures every order error-free from the person ordering — payment included. The WhatsApp group keeps doing what it does best: sharing the link.
Can we set an order deadline?
Yes — simply close the form on the cut-off date; no orders after that. Wonderfully disciplining: whoever wants in on the supplier order, orders on time. Latecomers go into a second round once enough have piled up.
Is the buyers' data safe?
Yes — encrypted transfer, hosting exclusively in Germany, tenant-isolated storage and an Art. 28 GDPR DPA. Card data is processed by Stripe as a certified payment provider; it never passes through your form in plain text.
Does this work for other group orders too?
Yes — the same pattern fits section jackets, fan scarves, anniversary shirts or the Christmas-party kitty. Built once, you duplicate the form and swap items and prices. The free plan includes 3 forms at a time.
