How tastings are run today — unfortunately

Calls don't reach you in the vineyard

Interested guests call when they have time: evenings, weekends, lunchtime. You are pruning, in the cellar or out on deliveries. Three missed calls are three groups landing at the winery next door — not out of preference, but because someone there picked up.

The list lives in the shop

Handwritten bookings in a ring binder: sometimes with a phone number, sometimes without, sometimes with a party size from two weeks ago. How many glasses actually need setting on Saturday, nobody reliably knows — and the family transfers notes into the calendar.

Booked unpaid, quietly absent

The party of eight from the company do doesn't cancel — they simply don't come. Eight opened bottles, bread, water and two hours of your time were planned. Without prepayment, you carry the risk of every single tasting alone.

Questions from the wine shop and tasting room

Why not Eventbrite for the tasting?
Ticketing platforms charge per ticket sold and put their brand between you and your guest — yet a winery lives on direct customer contact. With Questee, booking runs through your own website in your label design, customer data stays with you for direct sales, and instead of ticket fees you pay only the flat price plus the usual Stripe fees.
What happens when a date sells out?
Honestly: the form does not count down automatically — you stay in control. Every booking arrives instantly by e-mail; when your tasting room is full, you remove the date from the choice with one click. With a winery's manageable number of dates, that is one small task a week — and you decide yourself whether to keep two seats back for regulars.
Can guests request a private group tasting?
Yes — alongside the fixed dates, add an option "your own preferred date (from 10 guests)". Conditional logic then branches into a request: preferred date, occasion, party size — without instant payment, since you confirm the date first. One form handles both: instant booking for open tastings, structured requests for groups and coach tours.
How do cancellations work?
You set your cancellation terms and state them visibly in the form — typical: free until 48 hours before, then no refund or a voucher for the farm shop. Refunds take one click in the Stripe dashboard. A voucher instead of a refund keeps the revenue in house, by the way — many guests redeem it on their next purchase.
Is my customers' data safe?
Yes — Questee hosts exclusively in Germany, encrypts in transit, stores tenant-isolated and provides the Art. 28 GDPR DPA. Your tasting guests are often your wine customers too: those contacts belong in your house, not in a ticketing platform's database advertising other events to them.
Can I collect feedback after the tasting?
Yes — a second, short form: which wine did you like best, interested in the newsletter or a mixed case? The QR code sits as a small card on the tasting table. That systematically turns tasting guests into direct customers — forms are unlimited on the Pro plan.
Do I need technical knowledge to set it up?
No — describe your tasting to the AI ("wine tasting, 3 dates in July, €25 per person, classic and premium packages") and get a form draft in 30 seconds, which you tweak in the browser. Put the link on your website or generate it as a QR code — no web designer needed.
